Redtail

Connect Redtail to sync the contacts you choose, file calls and texts under the right note category, and work with Redtail notes and tasks from CurrentClient

Written by Dustin Belliston

What does the Redtail integration do?

Contacts sync from Redtail into CurrentClient every morning, and calls and texts are written back as notes in the category you choose. From inside CurrentClient you can read and add Redtail notes and tasks, and create contacts in Redtail.

Read connect your CRM first for how syncing works. This guide covers the Redtail specifics.

How do I connect Redtail?

The account owner does this once, in the web app. Redtail connects with your username and password, which we exchange for an access code. We keep only the access code.

Step 1. Open CRM sync

Go to Settings, then CRM sync, open Choose a CRM, and pick Redtail.

Step 2. Get your access code

Enter your Redtail Username and Redtail Password and click Generate Redtail Access Code. "We got your api key from Redtail" means it worked.

Step 3. Choose which contacts to sync

Under Select Contact Types, leave the switches off to sync everyone, or turn on Only sync specific contact types and pick the statuses you want, such as Client and Prospect. You can also limit the sync to certain servicing advisors.

Step 4. Review and create

Click Review, check the summary, and click Create.

Each teammate then goes to Settings, then CRM and enters their own Redtail username and password so their activity is recorded under their name.

What syncs?

  • Contacts by type and advisor. Change the filters later with Edit Filters on the CRM sync page.

  • Custom fields. Click Setup custom fields to add Client Since, Contact Source, Contact Category, Marital Status, Anniversary, Gender, Company Name, and more.

  • Activity back to Redtail. Calls and daily text summaries go on the contact as notes, per your Sync Options. Redtail adds one option there: Note category for texts and calls, so the notes land in the category your firm uses instead of the general one.

On a contact in CurrentClient you can read their Redtail notes and tasks, add a note from a call or a text with Add CRM Note, add a task, and create a new Redtail contact when you save someone. Quick Sync can write a phone number back to Redtail too.

What if it stops syncing?

Redtail access codes stop working when a password changes. When you see Action needed at the top of the app, reconnect Redtail from the CRM sync page with your current username and password. Your contacts and history stay put.
