Link your CRM so contacts flow into CurrentClient every morning and every call, text, and note is written back to the client record

What does connecting a CRM do?

Once your CRM is connected, two things happen without anyone lifting a finger:

  • Contacts come in. Every morning we pull your contacts from the CRM so names, numbers, and details in CurrentClient match what your team keeps in the CRM.

  • Activity goes back. Calls are written to the client record as notes as soon as they end, and texts are summarized into a note each morning. Your compliance and client history live in one place.

Who connects it?

The account owner does, first. The owner is the person who originally signed up for CurrentClient. Connecting from the owner account is what maps each CurrentClient user to the matching user in your CRM, so activity is recorded against the right person.

Step 1. The owner connects the workspace

Go to Settings, then CRM sync, click through to Choose a CRM, pick yours, and follow that CRM's guide. When it finishes you'll see "CRM connected".

Step 2. Each teammate connects their own login

Everyone else goes to Settings, then CRM and connects their own CRM login. That's what tells us which CRM user they are, so their calls and texts sync under their name rather than the owner's. A Connect your CRM reminder appears in the sidebar until they do.

Step 3. Choose what syncs

Back on the CRM sync page, review Sync Options and save.

If you open the CRM sync page as a teammate before the owner has connected, you'll see a note explaining this with an Email button to nudge them.

Note: With HubSpot and MedicarePro, everyone's activity syncs through the connection the owner set up, so teammates are ready to go as soon as the owner connects.


When do contacts sync?

Contacts pull from your CRM automatically every weekday morning and on Saturday. The CRM sync page shows exactly when the next run is due.

You don't have to wait:

  • One contact right now. Use Quick Sync to search your CRM and pull one person in.

  • Everyone right now. Click Sync now on the CRM sync page. You can run a full sync once a day.

  • A contact that changed. Open the contact in CurrentClient and click Run fresh sync.

By default the sync brings over the essential fields. To bring more, including custom fields from your CRM, click Setup custom fields on the CRM sync page. See contacts.

Some CRMs let you sync only part of your book, for example only certain contact types or only one advisor's clients. Click Edit Filters on the CRM connection card. The per-CRM guides say what's available.


What activity goes back to the CRM?

Open Sync Options on the CRM sync page. These are on by default:

  • Push messages to CRM as daily summary. Every morning we add one note per contact summarizing the previous day's texts.

  • Push calls to CRM realtime. As soon as a call ends, a note goes on the client record. Turn on Only push if a call note is added if you'd rather only send calls where you wrote a note.

And these are off by default:

  • Push call transcripts to CRM. Adds the transcript as a note when it's ready. See call recording.

  • Only add notes if it matches a contact. Skips notes for calls and texts with numbers that aren't in your CRM.

Wealthbox and Redtail have a couple of extra options, covered in their guides. Slant works the other way around: Slant pulls activity from CurrentClient itself, so there are no push options to set.

Beyond automatic notes, you can work with your CRM from inside CurrentClient. On a contact you can see their CRM notes, and depending on the CRM, add a note from a call or a text, see and add tasks, and create the contact in the CRM when you save someone new.

  • Wealthbox, Redtail, and Slant: read and add notes, read and add tasks, create contacts.

  • HubSpot: read and add notes, create contacts.

  • Quivr: read notes, read and add tasks, create contacts.

  • Salesforce: read notes and tasks.

  • Practifi: read notes.


What if the connection breaks?

CRM logins expire and passwords change. When that happens:

  • A yellow Action needed banner appears at the top of the app for the person who owns the connection, and the CRM sync page shows Connection issue with a Relink connection button. For most CRMs that's one click to sign in again. Redtail needs your username and password re-entered.

  • Everyone gets a CRM sync issue notification. This one is always on and can't be turned off, because a broken sync can silently drop new leads.

To stop syncing, use Disconnect at the bottom of the CRM sync page. Contacts already in CurrentClient stay. You can reconnect at any time.


Can I manage this from the mobile app?

Connecting and configuring the CRM is done on the web. Once it's connected, the mobile app can run Quick Sync, show CRM notes for Wealthbox and Redtail contacts, and create contacts and tasks in your CRM.
