Why am I getting an email for every archived message?#
If your archiver is set up for email journaling, every text message and call record is sent as an email to the journal address you entered during setup. When that address is a mailbox that you or someone at your firm actually checks, each copy shows up as a normal email.
This is expected, and it means archiving is working. Your archiver captures those emails to keep your books and records compliant. For the full picture, see the archiving overview and the setup archiving guide.
Can I turn these emails off?#
No, and you wouldn't want to. Those emails are the archive itself, not notifications. Turning them off would mean your communications stop being archived.
The best practice is a one-time email filter or rule that marks the copies as read, or files them into a folder, so they stop cluttering your inbox while your archiver keeps receiving every one.
Your archiver needs to receive these emails to keep you compliant. Mark them as read or move them to a folder; do not send them to trash or spam.
How do I set up a filter?#
First, open one of the archive emails and note its From address. Filtering on that sender (or on the journal address it was sent to) makes sure the filter only catches archive copies, not your regular mail.
Open an archive email
In Gmail, open one of the archive copies.
Start a filter from the message
Click the three-dot menu in the top right of the message and choose "Filter messages like this". Gmail pre-fills the From address.
Create the filter
Click "Create filter", then check "Skip the Inbox (Archive it)" and "Mark as read". Optionally apply a label such as Archive copies so you can still find them.
Save it
Click "Create filter" again. Future archive copies will skip your inbox but remain in your account for your archiver to capture.
